The minutes of the September 9 meeting of the Oregon Federation of
Square and Round Dance Clubs, held at the Polk County Fairgrounds, are
now available for download from the Federation's web site at
http://www.squaredance.gen.or.us/Minutes/?792 .

In response to the question asked during the Delegate Meeting Report, I
investigated the distribution requirements for the agenda.  It turns out
that there is no requirement in the P&Ps that the agendas be distributed
in advance at all.  It has only been in the last 6 or 7 years that it
has become practical to distribute the agendas by email; prior to that,
the only distribution mechanism was through the mail, which costs the
Federation money.  Thus, it was expected that officers and delegates
would simply pick up their agendas at the meetings.

Now that we have established a routine, it may be appropriate to
establish a policy with a suggested timeline.  The P&Ps do say that
agenda items are supposed to be sent to the president, in writing, 30
days in advance, but that has not generally been enforced.  Perhaps it
would make sense to reduce that to 14 days, and specify that the agenda
be available on the web site 7 days in advance.  If an officer or
delegate is interested in proposing such a change, I can suggest a wording.
